Privacy policy

This policy explains what information Care Performance Systems collects, why we collect it, who can see it and what you can do about it. It is written to be read, not to be got past.

1. Who we are

Care Performance Systems Pty Ltd (ABN 48 700 556 458), trading as Care Performance Systems, is an Australian workplace movement, ergonomics and training service for aged care, disability and community care providers. In this policy, “CPS”, “we” and “us” mean Care Performance Systems Pty Ltd.

You can reach us about anything in this policy at info@careperformancesystems.com.

2. Who this policy covers

This policy applies to three groups: people who visit this website, facility contacts who enquire about or manage a CPS programme, and staff members who take part in a CPS programme at their workplace.

If you are a staff member taking part in a programme, you are also given a separate Privacy and Data Use Notice at onboarding, which explains in detail what your facility can and cannot see. Where that notice is more specific, it applies.

3. What we collect from website visitors

If you send an enquiry through this website, we collect the facility or organisation name, your name, your work email address, and optionally your phone number, the type of service you run, your state or territory, an approximate size band for your care workforce, how you heard about CPS, and anything you type into the message box.

We ask you not to include any staff health, medical or personal information in that form, and we do not need it in order to talk to you.

We also collect basic technical information that any website receives, such as the pages requested and general device and browser information, through our hosting and infrastructure providers.

4. What we collect from facility contacts

If your facility engages CPS, we hold the contact details and roles of the people you nominate — typically a primary contact, a scheduling contact, a reporting contact and a billing contact — along with your facility details, delivery and reporting preferences, and the access level you have asked us to give each manager.

5. What we collect from staff participants

For staff members taking part in a programme we collect: name, work email address, role and work area; responses to the CPS assessments; the movement programme generated from those assessments; training modules assigned and completed; any early symptom reports the staff member chooses to make and the follow-up recorded against them; and the consent choices the staff member has made.

Some of this is health-related information. Under Australian privacy law that is sensitive information, and we collect it only with the staff member's consent, only where it is needed to deliver the programme, and we use it only for that purpose.

6. Payment information

CPS does not store credit card or bank account numbers. Any payment is handled directly between your facility and our payment or accounting provider.

7. How we use information

To respond to enquiries and arrange discovery calls. To set up and run a CPS programme for a facility. To generate an individual's assessment results, movement programme and prescribed training. To follow up early symptom reports. To produce the group-level reporting and quarterly reports a facility receives. To meet our legal and record-keeping obligations.

We do not use your information for advertising, we do not sell it, and we do not share it with anyone for their own marketing.

8. What a facility can and cannot see

Managers and facility contacts see aggregated, group-level information only: participation, assessment and training completion rates, common weak areas across the workforce, and counts of early symptom reports and follow-up timeliness.

Any group of fewer than five people is suppressed, so that individuals cannot be identified by elimination.

An individual staff member's assessment answers, scores or early symptom reports are only ever shown to their facility by name where that staff member has given explicit consent, and the staff member can change that choice.

9. Who else we share information with

We use third-party providers to run the CPS platform — principally cloud database and application hosting, an email delivery provider for notifications, and artificial intelligence (AI) service providers (see section 10). These providers process information on our instructions and are not permitted to use it for their own purposes.

We may disclose information where we are required to by law, or where it is necessary to prevent a serious and imminent threat to someone's life, health or safety.

We do not sell personal information to anyone.

10. Where information is stored, and how we use AI

Information is stored using cloud infrastructure. Some of our providers may store or process data on servers located outside Australia. Where that is the case we take reasonable steps to ensure the provider handles the information consistently with the Australian Privacy Principles.

The CPS system includes artificial intelligence (AI) features, and CPS also uses AI tools to help run the service. AI may help organise and summarise assessment results, suggest exercises or training modules, prepare reports and documents, and identify common trends across a facility.

AI never makes decisions about a staff member on its own: a CPS physiotherapist reviews and approves every exercise programme and any advice before the staff member receives it. AI does not diagnose anyone or decide whether they are fit for work. We only use AI services that do not use your information to train their AI models, and AI tools receive only the information needed for the task, using a code instead of a name wherever a name is not needed.

11. Security

Access to the CPS platform is controlled by individual accounts and role-based permissions, and the restrictions described in this policy are enforced in the platform itself rather than by manual process. We review who holds access periodically. No system can be guaranteed completely secure, and we will tell affected people and the regulator if a notifiable data breach occurs.

12. How long we keep information

Enquiry details are kept while we are in contact with you and for a reasonable period afterwards for our business records. Programme information is kept for as long as your facility holds a CPS agreement and for the period we are required to keep records afterwards, after which it is deleted or de-identified.

13. Your rights

You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong. Write to info@careperformancesystems.com and we will respond within a reasonable time.

If you are unhappy with how we have handled your information, tell us first and we will try to sort it out. If you are still not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

14. Cookies

This website uses only the cookies and similar storage needed to make it work and to keep you signed in to the portal. See our cookie policy for the detail.

15. Changes to this policy

We will update this page if our practices change, and the date at the top will change with it. If a change materially affects how we handle staff participant information, we will tell facilities and affected staff directly rather than relying on this page.
